The Fleet Safety & Compliance Coordinator (FSCC) is responsible for supporting the Fleet Safety Manager in all motor-vehicle compliance and safety for the Company. This responsibility includes receiving, processing, summarizing, drafting & managing reports and data for UDI auto accidents. This is a highly collaborative role involving all UDI locations, third-party administrators, vendors, and UDI leadership. The FSCC is also responsible for managing and auditing fuel cards, fleet agreements, maintenance contracts, and scheduling. In addition, this position manages driver qualifications and motor vehicle records, conducts audits and oversees the records for driver training, monitors FMCSA reporting, audits CSA BASICS scores, and ensures appropriate chargebacks. A successful FSCC demonstrates the ability to analyze accident data, insurance claims, and maintenance records to identify trends, risks, and areas for improvement.

Qualifications

  • Bachelor’s or Associate’s degree preferred.

  • Minimum 5 years of previous experience in accident and insurance administration, fleet administration, delivery compliance administration, preferably in a similar industry.

  • A strong understanding of auto insurance processing, fleet management and compliance requirements related to driver qualifications and MVRs.

  • Proficiency in using relevant software and tools for data management, reporting and communication including Microsoft Excel, Powerpoint, Outlook, fleet management software and insurance claims systems. Demonstrated ability to troubleshoot issues related to accidents, insurance claims, fleet maintenance, and compliance, as well as implement effective administrative solutions

    Responsibilities

    ACCIDENTS & INSURANCE ADMINISTRATION• Intake auto accident reports with UDI property damage only - no third parties• Manage auto accident data, reports• File auto insurance claims• Manage auto insurance claims(Work with TPA)

    FLEET MAINTENANCE ADMINISTRATION• Manage and audit fuel cards• Manage, maintain and administer fleet contracts - ensure vendor compliance, maintenance schedules, etc.• Manage, maintain & administer fleet maintenance contracts - ensure vendor compliance, schedules, etc.• Manage, maintain master fleet file.• Manage, review any speeding tickets or moving violations for fleet vehicles.• Work with Manager of Fleet Safety on Maintenance Vendor Audits to ensure Compliance & terms of contract• Work with insurer on repairs to fleet to ensure timeliness• Audit DVIR reports to Idealease mechanics to ensure swift return of vehicle to fleet

    DOT and NON-DOT COMPLIANCE ADMINISTRATION• Manage, update, audit and cycle out terminations for driver qualification records to satisfy UDI’s DOT and Non-DOT compliance standards• Support Delivery Manager in managing DOT drug testing program, post-accident compliance and related record-keeping

    DRIVER MOTOR VEHICLE RECORDS• Audit driver training records• Analytical Skills• Problem Solving• Attention to Detail• Exceptional Organization• Manage, maintain, audit records for new drivers• Manage, maintain & audit rehab and retraining records• Monitor FMCSA Reporting• Monitor, Audit CSA BASICS scores and submitted citations to ensure all are being reported

    OTHER• Review speeding tickets & communicate with managers/ associates to ensure payroll charge back to drivers• Other tasks as assigned
