  • Demonstrated experience in financial analysis and reporting, including budget review and forecasting.

Additional Qualifications:

  • Bachelor's degree in Accounting or Finance strongly preferred.

  • Excellent communicator, very patient and organized with strong analytical skills.

  • Ability to maintain a high degree of confidentiality and responsibility regarding information related to HBS business and sensitive financial information.

  • Demonstrated experience with high level financial analysis and comparisons.

  • Experience in a higher education setting preferred.

  • Able to handle detail accurately and quickly.

  • A self-starter with the ability to work effectively both independently and as a member of a team, with minimal supervision.

  • Experience working in financial operations in academia.

  • Knowledge of Harvard financial and HR systems, policies, and procedures a plus.

Additional Information:This is a hybrid position which we consider to be a combination of remote and onsite work at our Boston, MA based campus. HBS expects all staff to be onsite 3 days per week and departments provide onsite coverage Monday - Friday. Specific hours and days onsite will be determined by business needs and are subject to change with appropriate advanced notice.

Position Description:Reporting to the Director, Administration & Finance at Baker Library (BL), the Manager, Finance and Procurement, independently manages and has primary day-to-day responsibility for budget, accounting, and procurement functions. Responsible for financial analyses, contract management, and compliance in support of Harvard Business School (HBS) and BL’s mission and priorities. Integrally entrusted with a high level of confidential information.

Responsibilities:

Financial

  • Manages, monitors, reviews and prepares budget consolidations and actual spending for the Baker Library annual budget of approximately $14M. Performs quarterly forecasts, drafting memos and communicating to appropriate parties as required working with the Director, using Harvard financial systems.

  • Manages the HBS Reward & Recognition program for Baker Library, entering and monitoring payment requests, reporting activity and drafting communications.

  • Prepares financial and other related reports.

Accounting

  • Performs all accounting functions including accruals, prepaids, flux analysis and monthly or quarterly adjustments, and serves as accounting subject matter expert.

  • Ensures financial and risk compliance and works closely with Director, Administration & Finance to complete required compliance reporting. Performs periodic audits (ex. For University Purchasing card)

  • Reviews BL fund balances to ensure compliance and spend-down.

Procurement

  • Prepares invoices and tracks payments for Baker Library research services. Coordinates with staff who enter invoice information into procurement system (Buy-to-Pay).

  • Serves as primary point of contact for BL staff with Harvard purchasing cards, and for procurement and travel reimbursement activities.

  • Manages contract activity across Baker Library and in the Total Contract Management system in B2P. Ensures that all appropriate addenda are included, helping to coordinate the process for their completion in addition to other related materials that should be included (ex. Statements of Work).

  • Determines BL total contract liability in any given timeframe.

Other

  • Collaborates across Baker Library and other HBS departments.

  • Conducts financial and procurement analyses for decision-making purposes.

  • Serves as liaison to HBS Financial Office for job-related activities.

  • Provides customized training to BL staff with financial or procurement responsibilities.

  • Serves as back-up to Director, Administration & Finance.

  • Performs other duties as required.
