Summary

The Section of Oral and Maxillofacial Surgery (OMFS) is a Section within the Department of Surgery at the University of Michigan Medical School. The Section of OMFS is dedicated to setting the standard for teamwork, compassion, education, and innovation as we achieve outstanding outcomes for patients, invent novel life-saving treatments, and create a legacy of excellence in the field through advanced medical training. We're proud of the well-rounded enterprise we've built, performing a high volume of operations annually in our fast-growing specialty practice; advancing surgical knowledge and practice through NIH-funded research; and offering collegial and unique Fellowship training experiences. Our Section has 15 instructional, clinical, and research track faculty (including adjunct and emeritus), an active clinical across the School of Dentistry, St. Joseph Chelsea, Sparrow Health System, East Ann Arbor Surgical Center, University Hospital, and C.W. Mott Hospital, with over 1,300 operative cases annually. We are motivated by providing the very best care to our patients, training the next generation of surgeons through our 5 Residency and Fellowship programs, and furthering research through our several active research studies.

The Administrative Specialist plays a vital role that will own key responsibilities needed to facilitate the Sections functionality. The optimal candidate will be highly organized and have a proven track record of successfully supporting day-to-day operations. The candidate must be able to multi-task and operate in a fast-paced environment while effectively prioritizing various daily responsibilities. The candidate must possess excellent oral and written communication skills, as well as computer proficiency on a Microsoft platform. This position requires a high degree of flexibility with the ability to work proactively, as part of a team, with initiative and creativity. This position requires the experience, judgment, and competence to make decisions free from immediate direction. The individual needs to be highly dependable and maintain our core values to contribute to our excellent work culture. The Administrative Specialist reports to the Section Administrator.

Responsibilities*

Office Management

  • Work directly with HR business partner and Section Administrator to manage all human resource aspects (performance, goals, discipline, etc.) of staff in the department:

  • Facilitate and support onboarding and offboarding for all Faculty and staff; manage process and review for best practices on an annual basis

  • Support Section position postings: determine appropriate position level based on job requirements, review resumes to identify qualified candidates and oversee interview process and prepare offers.

  • Support and oversee overall Faculty life cycle (onboarding/offboarding, credentialing, licensure, etc.) becoming an expert user in the local Meridian software

  • Prepare and generate internal financial reports

  • Process financial and HR change requests

Staff Supervision

  • Manage a team of (4) administrative assistants (AA), including but not limited to hiring decisions, performance valuations, coaching, and disciplinary action.

  • Leading the AA team in adopting and identifying best practices to ensuring the best administrative support for our Faculty

  • Monitor and delegate tasks appropriately, including ensuring maintenance of Faculty licenses, managing Faculty recruitment (itineraries, seminars, travel arrangements, follow-up communications), etc.

Additional Responsibilities

  • If/as needed, willingness to engage in a flexible work schedule to attend early morning meetings and/or late meetings and events

  • Other responsibilities and/or projects as assigned by Section Head/Administrator

Required Qualifications*

  • Bachelor's Degree or an equivalent combination of education and experience

  • 5 or more years of progressively responsible professional experience.

  • Exceptional written and verbal communication skills and ability to interact with and build professional relationships with all individuals at all levels; appropriately handle confidential and sensitive information

  • Exceptional interpersonal skills and the ability to work independently and take initiative and within a team with minimal supervision

  • Strong organizational skills and ability to effectively manage numerous projects, simultaneously and in various stages of development, with a high attention to detail

  • Must have strong integrity, be highly proactive, have a high degree of problem-solving skills, be highly reliable, retain a sense of ownership and accountability for workload, be flexible and resilient, provide excellent customer service, and possess expert follow-up skills

  • Proficient computer skills are essential, including demonstrated proficiency with Outlook, Word, Excel, PowerPoint, Adobe PDF?s, survey tools such as Qualtrics and Google Forms, and email

  • Must be productive and flexible under pressure and able to meet deadlines

Desired Qualifications*

  • Knowledge of Meridian software and Faculty life cycle

  • Knowledge of University policies and procedures as well as University systems including MPathways, Concur, Wolverine Access, MiChart, MiCME, Elements (Faculty CV?s), and Cornerstone (previously Cornerstone Learning)

  • Knowledge of/experience with QGenda

  • Knowledge of/experience with Zoom

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.
